This Privacy Policy explains how Sound Show processes personal data when you use the website, create an account, purchase a license, contact support, or use connected platform services.

1. Data Controller

Sound Show is operated by Laurent Herbin, Rue du Mont 111, 1360 Perwez, Belgium. VAT/BCE: BE1030.576.401.

You can contact Sound Show through the contact form.

2. Personal Data We Process

Depending on how you use Sound Show, we may process:

  • account information, such as email address, display name, password hash, account status, email verification status, login timestamps, and security session data;
  • optional account questionnaire answers, such as intended uses of Sound Show, country you are mainly based in, and how you heard about Sound Show, together with the consent wording/version, collection surface, and consent, update, and expiry timestamps;
  • licensing information, such as purchased product, license status, activation count, device name, device identifier, device platform, app version, activation and verification timestamps, and entitlement token records;
  • purchase and billing information, such as customer email, purchased product, checkout status, invoice references, payment provider identifiers, invoice links, refund or payment status, and accepted legal document versions;
  • support and contact information, such as your message, category, subject, email address, optional app context, optional diagnostic data, and related support history;
  • newsletter information, such as your email address, optional display name, language, signup source, confirmation and delivery timestamps, subscription status, and a record of the consent wording you accepted;
  • anonymous download statistics, aggregated by UTC day, Sound Show version, release channel, platform, and whether the download started from the website or the in-app updater; the statistics table does not store an IP address, user agent, referrer, account, cookie, or device identifier;
  • technical information, such as IP-derived security data, request timestamps, user agent, rate-limit events, error and audit logs, and platform administration audit records.

Payment card data is processed by Stripe when Stripe checkout is used. Sound Show does not store full payment card numbers.

3. Why We Process Data

We process personal data to:

  • create and secure user accounts;
  • provide purchased licenses, trials, free entitlements, activation limits, and offline entitlement checks;
  • process purchases, invoices, refunds, and payment-provider webhooks;
  • send account verification, purchase, invoice, licensing, and support emails;
  • send the optional Sound Show newsletter when you have requested and confirmed it;
  • answer support or contact requests;
  • prevent abuse, fraud, unauthorized access, and license misuse;
  • understand release adoption, platform demand, and the reliability of manual and in-app update delivery;
  • measure account registrations and, when you choose to share questionnaire answers, understand our audience and inform product improvements;
  • meet accounting, tax, and legal obligations;
  • keep evidence of purchases, license grants, account deletion, and accepted legal terms.

4. Legal Bases

The main legal bases are:

  • performance of a contract for accounts, purchases, licenses, trials, entitlement tokens, invoices, and support linked to those services;
  • legal obligation for accounting, tax, invoice, payment, and compliance records;
  • legitimate interest for security, abuse prevention, platform administration, diagnostics, support continuity, aggregate account-registration reporting, and privacy-minimized aggregate download measurement;
  • consent for the optional account questionnaire, optional diagnostic information, and optional marketing communications. Each purpose is separate.

5. Sharing And Processors

Personal data may be shared with service providers that help operate Sound Show, such as hosting, email delivery, payment processing, and support infrastructure.

Mailjet, a service of Sinch, is used to deliver transactional email and to manage and deliver the newsletter, including unsubscribe and delivery status information.

Stripe acts as payment processor for Stripe checkout and invoicing. Stripe may also act as an independent controller for some payment compliance obligations.

Sound Show does not sell personal data.

6. Retention

Account data is kept while the account is active. If an account is deleted, data that is no longer needed is removed or anonymized where possible.

Some records may be retained after deletion when needed for invoices, tax obligations, refund handling, chargebacks, fraud prevention, legal claims, retained license continuity, or proof of accepted terms.

Support messages and contact requests are kept only as long as needed for support continuity, security, or legal obligations.

Anonymous daily download totals may be retained for long-term product and release comparisons because they do not identify a person. The ordinary security and web-server logs produced while serving the redirect are governed by the retention and security purposes described above and are not joined to the download statistics table.

Pending newsletter requests expire after seven days. Confirmed newsletter contact and consent records are kept while you remain subscribed and as needed afterward to respect an unsubscribe request and demonstrate consent. Newsletter consent is independent of a Sound Show account, so deleting an account does not subscribe or unsubscribe an email address.

7. Your Rights

Under the GDPR, you may have the right to access, rectify, erase, restrict, object to processing, request portability of your data, or withdraw consent where processing is based on consent.

You can start an account deletion request from the account page or contact Sound Show through the contact form.

You can withdraw newsletter consent at any time by using the unsubscribe link in a newsletter email or by contacting Sound Show. Withdrawing newsletter consent does not affect your account or license.

You also have the right to lodge a complaint with your local data protection authority.

8. Updates

This policy may be updated when Sound Show features, processors, legal obligations, or retention practices change. The current version is published on this page.

9. Optional account questionnaire

Every questionnaire question is optional. You can skip the invitation and use your account, Free features, trial, or purchased license as usual. We do not infer questionnaire answers from your IP address, billing details, or social-login profile. We save answers only when you accept the questionnaire consent and choose Share answers.

Answers are linked to your account and remain personal data. Sound Show uses them for internal audience statistics and product planning. Authorized platform administrators can view aggregate results; the questionnaire adds no advertising trackers or external analytics service. Answers are not added to the newsletter contact list, used to send targeted marketing, or used to decide account or license access. The hosting providers described above process stored data as part of operating the platform.

You can view, correct, or remove your answers in Your use of Sound Show in your account on the website or in the app’s account controls. Remove my answers withdraws questionnaire consent and removes the answers and associated consent record from the live service. You can download a copy from the website account section or request access through the contact form. Withdrawal does not affect processing that was lawful before you withdrew consent.

Answers expire two years after your last explicit save. Expired answers are immediately excluded from statistics and removed from live storage by a daily cleanup. Account deletion also removes questionnaire answers and consent records. Historical registration counts may still include a deleted account’s original creation; its questionnaire answers are no longer included in audience distributions. Questionnaire data is not retained under the separate billing or license-retention exceptions.

Encrypted recovery backups may temporarily contain an earlier copy until the normal backup rotation expires it. Such copies are restricted to recovery, and removals made after a backup must be reapplied before a restored service is made available. Backups must not be used to continue questionnaire analysis after removal or expiry.
